Job Posting: Office and Project Assistant

PEAK Parent Center is looking to fill an office and project assistant position (30 hours a week). This position will provide general office support to the staff of PEAK Parent Center Parent answering phones, routing calls and visitors to appropriate staff, and other tasks. This individual will also assist with data collection, preparation letters, and other documents as assigned using word processing, spreadsheets, presentation software, and Salesforce.

Essential Job Responsibilities:

Reception duties

  • Provides timely and professional customer service and handles customer inquiries.

  • Conducts general administrative support functions: answering phones, routing calls and visitors to appropriate staff, ordering supplies, coordinating internal staff newsletter, and running errands as requested.

  • Operates office equipment and uses computers for word processing, spreadsheets, database management, and other applications.

  • Follows agency procedures for assignment completion, record keeping, electronic filing systems, tracking data, and preparing routine and special reports as requested.

  • Assists with data collection, preparation of reports, letters, and other documents.

  • Assists with tasks such as mailing preparation, overseeing workshop materials including packet assembly, and completing workshop follow-up tasks.

  • Assists with annual on-site conference activities as assigned.

  • Maintains customer confidence and protects the organization by keeping agency information confidential. 

  • Provides staff who have disabilities designated accommodations and supports to facilitate their full participation.

 Project Assistant Duties:

  • Acts as a point of contact for general inquiries, questions, and comments about PEAK activities and programs. 

  • Assists project staff in marketing, preparation, and follow-up for training including webinar set-up, preparation of training materials, and communicating with registered participants.

  • Assures that designated PEAK trainers have all materials necessary to conduct a quality training including PowerPoint presentations, resource packets, evaluation forms, AV equipment, directions, car rental, and hotel accommodations if necessary. 

  • Provides project status reports.

  • Assists in data collection and tabulation after events and webinars. 

Supervisory Duties

  • Supervises support staff, including individuals with disabilities, incorporating designated accommodations and supports to facilitate their full participation.

Organizational Relationship

  • Reports directly to Operations Manager and interfaces with Technology Coordinator and Executive Director.

Job Qualifications Include:

Education or Formal Training

  • High school graduate or equivalent required.

  • One year of related experience.

Required Skills and Knowledge

  • Proficiency of computer applications including databases, Microsoft Word, Excel, and PowerPoint.

  • Strong organizational and time management skills.

  • Strong customer service skills and principles.

  • Strong verbal and written communication skills.

  • Experience with complex office equipment.

  • Team player.

  • Detail orientation.

  • Experience in orchestrating and handling a wide range of administrative. support tasks in a timely, efficient manner.

  • Punctual with strong attendance history.


  • Bi-lingual (English and Spanish language skills) preferred.

  • Experience with Customer Relationship Management System. 

  • Self-advocate or parent of a child with disabilities preferred.

Other Requirements

  • Ability to work during normal business hours of M-F, 8:00-2:30 pm.

  • Ability to work long hours at conferences during various times of the year.

  • Follow proper safety procedures when performing physical job tasks.

  • Hold valid driver’s license.

  • Have reliable transportation and current, valid insurance.

  • Ability to lift 30 pounds.

  • Participate in staff development activities as assigned.

Pay: $16.00 per hour
